Events & Fundraising Assistant

Location: Valletta Contemporary, Valletta, Malta
Hours: 5 hours per week during working hours (Wednesday to Saturday, 2:00 PM - 7:00 PM). Occasional additional hours during exhibition openings, events and venue hire events.
Remote Working: Not available

 

Position Overview:
We are seeking a motivated and resourceful Events and Fundraising Assistant to support the growth and sustainability of Valletta Contemporary. This part-time role is crucial to the success of our fundraising efforts and public programming, requiring a proactive individual with excellent organisational and communication skills.

The chosen candidate will be line managed by the Gallery Manager (GM). The responsibilities listed below will be shared with the GM and there will also be support from short-term interns and long-term volunteers.

Key Responsibilities:

  1. Fundraising Initiatives:

    • Suggest fundraising opportunities for the Norbert Francis Attard Foundation and Valletta Contemporary (VC). Assist in maintaining relationships with contributors.

    • Develop and execute fundraising strategies to support Valletta Contemporary's operational and project-specific needs.

    • Identify and approach potential sponsors, donors, and funding bodies (local, EU, and international).

    • Write compelling grant applications and funding proposals tailored to the art and cultural sector.

    • Maintain and manage relationships with existing supporters, ensuring regular updates and acknowledgments.

  2. Event & Community Coordination:

    • Plan and coordinate events, including exhibition openings, artist talks, workshops, and community outreach programs. Maintain and develop VC’s membership scheme.

    • Venue Hire events: Manage event logistics, including scheduling, vendor coordination, and on-site supervision.

    • Research and maintain relationships with venue hire clients.

  3. Marketing & Communications:

    • Maintain online social media presence on platforms such Facebook & Instagram for VC and gallery shop accounts.

    • Build VC’s brand awareness through various media outlets, plan sales and advertising campaigns, collect and analyse market research data, identifying potential markets, work within various multimedia outlets to promote a product, etc.

  4. Administrative Support:

    • Maintain accurate records of fundraising activities, donor communications, and event budgets.

    • Provide regular reports to the management team on fundraising progress and event outcomes.

Working Hours
​

  • Wednesday to Saturdays from 2.00pm to 7.00pm (15hrs-20hrs per week). Mondays, Tuesdays and Sundays closed. The exact working days will be decided upon with the chosen candidate, but the ability to work on a Saturday will be considered and asset. 

  • During opening nights of exhibitions, venue hire and other events, you will also be required to attend evening receptions from 7.00pm until latest 11.00pm and occasionally asked to participate in the installing and de-installing of an exhibition, including any meetings outside working hours.

Requirements:

  • Bachelor's degree (Example: Art History, Digital Arts) or related job experience in related areas would be equally considered. Other degrees such as arts management, business studies, non-profit management, marketing and sales, would be equally considered as well.

  • Proven experience in fundraising, event management, or a related field, preferably within the arts and cultural sector.

  • Strong written and verbal communication skills, with the ability to craft persuasive proposals.

  • Excellent organisational and time-management skills, with attention to detail.

  • A passion for contemporary art and an understanding of the cultural landscape in Malta and internationally.

  • Availability to work on-site during the specified hours (Wednesday to Saturday, 2:00 PM - 7:00 PM).

Preferred Qualifications:

  • Familiarity with grant opportunities for arts organisations, NGOs & galleries in Malta and the EU.

  • Experience building relationships with donors, sponsors, and funding agencies.

  • Proficiency in project management tools and basic budgeting.
